Overview
We are looking for a friendly, organized, and reliable Receptionist to be the first point of contact for our construction and landscape company. This role supports daily office operations, customer communication, and administrative tasks that help keep projects running smoothly. The ideal candidate is professional, detail-oriented, organized and comfortable working in a fast-paced environment.
Key Responsibilities
• Greet and assist visitors, clients, vendors, and team members in a professional manner.
• Answer and direct incoming calls, emails, and inquiries to the appropriate staff.
• Process customer nuisances/complaints/issues, professionally deescalate customers as needed.
• Manage home contacts, sales email.
• Maintain front desk area, reception space, and general office organization.
• Schedule appointments, consultations, and project meetings.
• Strategically schedule and manage pace of new leads efficiently
• Assist with data entry, filing, and maintaining customer/employee records.
• Support project managers and field staff with administrative tasks as needed.
• Handle incoming/outgoing mail, deliveries, and packages.
• Push accepted contracts into work orders, set realistic schedules with customers.
• Update calendars, schedules, and internal communication boards.
• Ensure safety procedures for visitors are followed when entering yard or job areas.
• Manage gear, PPE and office supply inventory
• Assist with collection calls and requesting deposits
Qualifications
• Previous receptionist or administrative experience preferred.
• Strong communication and customer service skills.
• Ability to multitask and stay organized in a busy environment.
• Basic computer skills (Microsoft Office, Google Workspace, or industry software).
• Knowledge of construction or landscape industry terminology is a plus.
• Professional, positive attitude and strong time-management skills.
• Ability to handle sensitive information with confidentiality.
• Spanish speaking skills is a plus
Work Environment
• Office setting with regular interaction with field crews, clients, and vendors.
• Occasional exposure to outdoor or yard areas related to construction or landscaping.
